Required onboarding on the higher-priced path, one time: $4,500. Connecting the separate tools to each other is extra and is priced by whoever you hire.

The low total leaves out AI that answers your website chat, because we could not confirm a lower-priced option at the volume assumed.

Some figures for automations that connect your tools and AI that answers your phone are the vendor's lowest usage tier, so heavier use costs more.

Where these prices come from

List prices opened on each vendor's own pricing page on October 2, 2026. Monthly billing where the vendor shows it, except n8n and Intercom, which are shown at the annual-billing price, so paying monthly may cost more. Assumes 10 or 25 staff on the CRM; 3,000 text messages, 1,500 AI phone minutes and 500 AI chat outcomes billed a month (Intercom bills per outcome, so fewer billed outcomes cost less).

You pay once and keep it for good, with the source code and all your data, on accounts in your own name. There are no per-user fees as your crew grows. Your system runs on hosting, database and texting accounts in your own name, which bill you directly at their own usage rates, as texting does in the table above.
